How to search Index plan in PROV Catalogue system

Location: VAC Reading Room

To ensure that MMBW negatives of interest to researchers are correctly identified, please use the Main Grid System from the Index Map Book, a.ka Red Map Book to select the area that required.  For e.g .7F Moorabbin and then goes to map 7F. 

If you are looking the online version of the Index Map Book,  you can go to this site and select the the area that you required. It will lead to the area that you required.

Instruction - If anyone need to order the negatives or the certain map plans, please tell us within 24 hours before the day that we can send the plans or negatives on the specific date that you required.


What do the numbers mean in each index plan ?

Each Numbers represents its functionalities. They got different numbers serve with different colours that is listed below.

Page number and Red Circled Grid Number.

e.g 10E 24

10E will be listed as page number which can be shown on the top & bottom of the page  after you have chosen the area from the main grid system. As for the Red Circled Grid Number, 24 will be listed as a group to each suburb contained in it.

Retrieval

To retrieve this plan as requested, the series number will be VPSR 8604 and the consignment number for the plan is P2 / P0002.

Then search the 10E 24 and order it, so that it will be prepared for you on the next day.


This is an example of the plan part when users retrieved it. As you can see the differences from other images, it shows other area & surburb that links to the destination that I want to view.

Page number, Red Circled number, Grid Alpha (template in centre of page)

e.g 10E 24 F

As you can see the center from Plan 10E, each box is assigned alphabetically. In this case, F is the Grid Alpha for 10E 24. It allows the user to focus on the area with different small diagonal blue numbers contained in it (if the users is searching only few places.)

Retrieval

To retrieve this plan as requested, the series number will be VPSR 8602 and the consignment number for the plan is P2 / P0002. 

Then search e.g. above and order it, so that it will be prepared for you on the next day.

Note: Only selected alpha grid of the plan is listed in the catalogue system.

Large blue Numbers bounded with a blue line 

e.g 10E 24 19

19 is the large blue numbers bounded witha blue line.

Retrieval

To retrieve this number listed above, the series number will be VPRS 8604. and Part consignment number will be Part 2 / P0002. Select 19 and order it. You will get the plan with the number required on the next day.

Note: Some of the plan file number are not graded.

 

Small diagonal blue numbers bounded with a thin blue line

e.g. 10E 24 511

511 will be listed as blue colour in the small box. This number represents the one area that users interested instead looking the whole group of the plan. 

Retrieval

To retrieve this number listed in the Plan 10E, the series number will be VPRS 8601 and Part consignment number will be Part 2 / P0002. Select the 511 and order it. You will get the plan with the number required on the next day

Note: Sometimes the plan that the user required is connected with different numbers such as 511, 512 & 513 as one small plan of the surburb


This is the plan you will get from the example above. This shows only the specific area that users are interested to do research on. It also shows the buildings near the location clearly that near the street that I'm focusing on instead the whole area of Southbank.

Plan number and Green Circled Grid with compass directions

e.g. Plan 10G 235 SW

235SW is the Green Circled Grid with compass directions in this plan.

Retrieval

To retrieve the example above, The series number for this plan will be VPSR8607 and consignment number will be P2 or P0002.Select the  number of Green circled grid with compass directions only and order it. You will get the plan with the number required on the next day.

Note: Only selected plans with high mountain areas or others 

This is an example part of Plan 10G 235 SW if user retrieved it. This Plan shows how the fall of the land in the area near Box Hill and Doncaster with the building plan around it.

Colours

As for the colours shown in the index map, besides the number with colours explanation above, if you see the the box is half yellow , that means the area that you have chosen, has just commenced whereas the box is all filled with yellow, that means the area of the work has completed.






NB: Field Books are accessed by the Field Book (FB) number on the Detail Plans VPRS 8601/P1, 8602/P2 and are usually on the edge of the DP (Detailed Plan).
